Know where you are starting from
The changeover plan depends on what you use today. A shop on handwritten bills and registers has no data to export but needs a full stock count. A shop on Excel has a medicine list that needs cleaning. A shop on old billing software may be able to export most of its data, if the old vendor allows it.
Ask your current vendor early whether you can export items, batches, suppliers and customer balances to Excel or CSV. Some older systems only export with the vendor's help, and it is better to know this weeks before the switch than on the day.
| Starting point | What you can reuse | Main work |
|---|---|---|
| Registers and handwritten bills | Supplier list, regular customers | Full stock count with batches |
| Excel sheets | Medicine list, supplier list | Cleaning duplicates and adding batches |
| Old billing software | Items, batches, ledgers, history | Export, mapping and checking |
Clean the medicine list before importing it
Old medicine lists collect duplicates over the years: the same tablet entered as "Paracetamol 650", "PARACETAMOL-650 TAB" and "Paracetamol 650mg". Importing these as they are means stock is split across three items and none of them is right.
- Merge duplicate names and keep one standard spelling for each item.
- Check pack size and the unit you sell in: strip, bottle, tube or loose tablet.
- Fill in manufacturer and composition where you have them.
- Mark items you no longer stock as inactive instead of deleting them.
- Check that HSN code and tax category are filled for every item, and confirm doubtful ones with your CA.
Enter opening stock batch by batch
Opening stock is the most important number in the new system. If an item has three batches on the shelf, it needs three opening lines, each with its own batch number, expiry, MRP, purchase rate and quantity. A single total quantity per item will make expiry tracking wrong from day one.
Count stock after closing time, rack by rack, with two people per section: one counting, one writing or entering. Count a section only once and mark it done. Expired stock found during the count goes into a separate list and is not entered as saleable stock. Our expiry management routine explains how to handle it.
Carry over supplier and customer balances
Stock is not the only thing that moves. The new system should start with what you owe each supplier and what each credit customer, clinic or doctor owes you, as on the changeover date.
- Supplier outstanding per distributor, matched with their latest statement.
- Pending credit notes for returns already sent.
- Customer and clinic credit balances.
- Unbilled orders and medicines kept aside for regular patients.
- Last bill number, so the new series continues without gaps or repeats.
Plan the cutover day
Choose a quiet day, such as a Sunday afternoon or a weekday after closing, not the first week of the month when supplier deliveries and payments peak. Install and test the printer, barcode scanner and bill format a day earlier.
On the first day, keep the old system or register available for looking up past bills but do all new billing in the new software. Running both for new bills doubles the work and the two will never match. At closing, compare cash and UPI totals with the new system's day report and fix any gaps the same evening.
Train staff and review the first month
Train counter staff on the three tasks they do most: billing, returns and purchase entry. Short sessions on real bills work better than a long demo. Make one person responsible for purchase entry in the first weeks, because a wrong batch or expiry at purchase spoils everything after it.
At the end of the first week and the first month, check a sample of items against the shelf. Small differences early on are normal; repeated differences on the same items point to a habit that needs correcting.
YAVEX handles the import and the first-week support when it sets up our pharmacy management software, including Tamil screen labels where staff prefer them. If your shop also sells Ayurvedic or Siddha lines, see our Ayurvedic pharmacy software page. To decide what the new system must do before you switch, use our features checklist.

Questions Before You Start
How long does it take to switch a medical shop to new billing software?
The cutover itself can be done in a day. Preparing the medicine list and counting opening stock usually takes one to three weeks, depending on the size of the shop.
Can I keep my old bills after switching?
Yes. Keep the old system or registers available for reference, or import past sales history if the old software allows a full export.
Should I run the old and new software side by side?
Only for looking up past records. Do all new billing in the new system from the first day, otherwise the two will never match.
What if my old software does not allow data export?
Print or save the item list, stock and ledger reports, and the new system can be set up from them with manual entry or a recount.
