The three ways pharmacy software is priced

When a medical shop owner asks for the price of billing software, the answer depends on how the vendor charges. Most offers in India fall into one of three models, and the sticker price alone does not tell you which one is cheaper for your shop.

A one-time licence is paid once for a version of the software, usually installed on the counter computer, often followed by a yearly fee for updates and support. A subscription is paid every month or year for as long as you use it, usually per counter, user or branch. A custom build is paid mainly once to have software set up around your shop's way of working, with hosting and an optional support plan after that.

What the price of medical shop software actually covers

A quote is only comparable to another quote when both cover the same work. Two offers with a similar headline price can differ a lot once you ask what is included. Before you compare, write down which of these items each vendor has included and which are extra.

  • Software licence, subscription or build cost.
  • Installation on your counter computers and printer setup.
  • Import of your medicine list, suppliers and opening stock with batches.
  • Staff training at the shop, and how many sessions.
  • Support period: phone, remote or on-site, and response time during shop hours.
  • Updates when bill formats or tax reports need to change.
  • Backups: who takes them, how often and where they are stored.
  • Extra counters, extra users and a second branch.

Costs that sit outside the software quote

Some costs are real but rarely appear in a software quote because you pay other providers for them. Budget for them separately so the project does not stall halfway.

Hardware is the biggest one: a counter computer, a thermal or laser printer for bills, a barcode scanner and a power backup so billing does not stop in a power cut. Cloud hosting, a domain, and SMS or WhatsApp message charges are paid to those providers if you use online access or reminders. The time your staff spend checking the imported medicine list is also a cost, even though no one sends a bill for it.

If you are weighing a no-cost tool against these expenses, read our comparison of free and paid pharmacy billing software before deciding.

Compare the total over three years, not the first bill

The fairest way to compare offers is to add up what you will pay over three years for the same shop. For a subscription, multiply the yearly fee by three and add the cost of the extra counter or branch you expect to open. For a licence, add the yearly update fee. For a custom build, add hosting and the support plan you intend to keep.

Then ask one more question of every option: what happens to your sales history, supplier ledger and batch stock if you stop paying or move to another system? Software you cannot leave cleanly is more expensive than it looks. Our guide to switching a medical shop to new billing software explains what data you should be able to take with you.

What YAVEX charges for pharmacy software

YAVEX builds custom medical shop billing software rather than selling a packaged product. For a single retail medical shop, the work starts from ₹29,999. That is our published Web App Starter package, not a market average. You get a fixed written quote listing modules, timeline and support period before any work starts.

Multi-branch stores, wholesale billing and integration with a hospital system are quoted separately, because the work involved varies a lot from one business to the next. If you run a stockist business, see our pharma distributor software page. If your pharmacy sits inside a hospital, see hospital pharmacy software. All our packages are on the pricing page.

How to get an accurate quote from any vendor

Vendors can only quote accurately when they know how your shop works. Collect the following before the first call, and share the same information with every vendor so the quotes are comparable.

  • Approximate number of medicines in your list and number of regular suppliers.
  • Number of billing counters today and branches planned in the next two years.
  • Two or three sample bills and a sample supplier invoice.
  • Reports you read every week, such as sales, supplier dues or near-expiry stock.
  • Your current system: register books, Excel or old software, and whether it can export data.
  • Whether you need doctor or clinic credit billing, home delivery or WhatsApp reminders.

Questions Before You Start

Is a monthly subscription cheaper than one-time pharmacy software?

In the first year it often is. Over three or more years, a subscription can cost more, especially once you add counters or a branch. Compare the three-year total for the same setup.

Why do pharmacy software quotes vary so much?

Quotes differ in what they include: data import, training, support hours, backups and extra counters. Ask each vendor for a line-by-line list so you compare the same scope.

Do I need to buy a new computer for pharmacy billing software?

Not always. Many shops use their existing desktop if it runs reliably. You may still need a bill printer, a barcode scanner and a power backup.

Is GST added to the software price?

Software and services are usually billed with GST on the invoice. Ask the vendor whether the quoted figure includes tax, and check input credit eligibility with your CA.

Does YAVEX charge per user or per counter?

No. For a custom build there is no per-user licence fee from us. You pay for the agreed scope, plus hosting and any optional support plan.
