Hospital Pharmacy Software for OP Counters, Wards and OT
A hospital pharmacy is two businesses under one roof: an OP counter that bills walk-in prescriptions like a retail shop, and an inpatient store that issues medicines and consumables to wards, ICU and theatres against patient accounts. Our [[retail pharmacy software|/solutions/pharmacy-billing-software]] covers the counter well; hospital pharmacy software adds indents, sub-stores and charging to the IP bill so nothing issued to a patient is missed at discharge.

Hospital Pharmacy Management Features
OP Counter Billing
Prescription billing for outpatients with batch selection, discounts and cash or card payment.
IP Medicine Issue
Issue medicines against an IP number and post the charge straight to the patient's running bill.
Ward & OT Indents
Nurses raise indents from wards, ICU or OT; the pharmacy approves, issues and records what was sent.
Sub-Store Stock
Separate stock for OT, ICU, casualty and wards, with transfers from the main pharmacy and consumption entry.
Returns from Wards
Unused medicines returned from the ward are credited to the patient and added back to stock.
Package Billing
Medicines and consumables included in a surgery package are tracked without adding to the patient's bill.
Consumables & Surgicals
Syringes, IV sets, catheters, implants and surgical items tracked by batch alongside medicines.
Batch & Expiry Control
Batch-wise stock across the main store and every sub-store, with near-expiry lists per location.
HMS Integration
Patient, admission and billing data shared with your hospital management system.
What Is Hospital Pharmacy Software?
Hospital pharmacy software manages the medicines and consumables a hospital buys, stores and issues: to outpatients at the counter, to admitted patients through wards, and to theatres and ICUs through sub-stores. Every issue is linked either to a cash bill or to a patient's IP account.
It uses the same batch and expiry stock as our pharmacy billing software for medical shops, but the main job is different. In a hospital, the risk is not a slow counter but medicines that leave the store and never reach the final bill.
- OP counter billing for walk-in prescriptions.
- IP issue posted to the patient's running bill.
- Indents from wards, ICU and OT.
- Sub-store stock and consumption records.
- Batch, expiry and returns across all locations.
OP Counter Sales vs IP and Ward Medicine Issue
At the OP counter, the patient pays before leaving, so the workflow looks like a retail medical shop. For inpatients, medicines are issued many times a day by different staff, and payment happens at discharge. Mixing the two in one register is where most hospitals lose track.
The software keeps them as two clear workflows sharing one stock. IP issues need a valid admission number, are charged at the hospital's IP rate and appear on the patient's running bill instantly, so the billing desk can see medicine charges during the stay and not just at discharge.
| Point | OP counter | IP / ward issue |
|---|---|---|
| Who is billed | Walk-in patient, paid at the counter | Admitted patient's IP account |
| When paid | Immediately | At discharge or against advance |
| Who requests | Patient with prescription | Nurse or doctor through an indent |
| Returns | Counter return with refund | Ward return credited to the IP bill |
| Packages | Not applicable | Items inside a package are not charged |
Indents from Wards, OT and ICU Sub-Stores
Wards, theatres and ICUs keep their own stock of fast-used items so nurses do not walk to the pharmacy for every syringe. Without a sub-store record, the main pharmacy shows stock that is actually sitting in the OT, and consumption is never charged to anyone.
Each sub-store is set up as its own location. Nurses raise indents for refills, the pharmacist approves and transfers stock batch-wise, and every item used is entered against a patient or as a departmental expense. Monthly reports compare what each sub-store received with what it charged.
- Indent request, approval and issue with timestamps.
- Batch-wise transfers between main store and sub-stores.
- Patient-wise consumption entry in OT and ICU.
- Received vs charged report per sub-store.
Package Billing, Consumables and Surgical Items
Surgery packages include a fixed set of medicines and consumables. Items inside the package are recorded for stock and audit but not added to the bill, while anything beyond the package limit is charged separately. The software tracks both, so the hospital knows the real material cost of each package.
Consumables such as IV sets, catheters, sutures and implants are stored with batch numbers like any medicine. For implants, the batch and serial number issued to a patient stay on record for traceability.
Linking the Pharmacy to Your Hospital Management System
The pharmacy works best when it reads admissions and writes charges to the same patient account as the rest of the hospital. If you already use our hospital management software, the pharmacy module plugs into the same patient ID and final bill.
If your hospital runs another HMS, we review what it can share, such as patient lists, admission numbers and bill posting, and quote the integration separately. A pharmacy can also start on its own and connect to the HMS in a later phase.
Hospital Pharmacy Software Cost and Pricing
Hospital pharmacy software is quoted against our published web application packages: Web App Starter from ₹29,999 and Web App Business from ₹59,999+. A standalone pharmacy with an OP counter, batch-wise stock and ward issue can start from the Starter scope. Sub-stores, indent workflows, package billing and integration with your hospital management system are quoted separately after we see how your wards and billing desk work today. You get a fixed written quote with modules, timeline and support period before any work starts. Hosting and SMS/WhatsApp provider charges are paid directly to those providers and listed separately.
Hospital Pharmacy Software FAQs
How much does hospital pharmacy software cost?
A standalone hospital pharmacy with OP billing, batch-wise stock and ward issue can start from our Web App Starter package at ₹29,999. Sub-stores, indents, package billing and HMS integration are quoted separately.
Can medicines issued to a ward be added to the patient's IP bill automatically?
Yes. Each IP issue is linked to the admission number and posted to the patient's running bill, and ward returns are credited back.
Can the OT and ICU keep their own stock?
Yes. Each sub-store has its own batch-wise stock, receives transfers from the main pharmacy through indents and records consumption per patient.
Is a hospital pharmacy management system different from a full HMS?
Yes. The pharmacy system covers medicine and consumable stock, issue and billing. A full HMS also covers registration, doctors, wards, lab and discharge. The pharmacy can run alone or as a module of the HMS.
Can it connect to the HMS we already use?
Often, yes. We check what your current HMS can share, such as admissions and bill posting, and quote the integration after that review.
